Fleet Services Newsletter

June 2018

Happy New Year!!

As most of you know, the fiscal year ends at midnight on June 30.  Fleet Services will be doing our end of year billing on Friday, June 29.  So any fuel charges incurred or rental reservations returned by 6pm on the 29th will be included in FY 18 billing.  Anything occurring after 6pm on Friday, June 29 will be billed in the new fiscal year.  Please call our office if you have any questions.

FY 19 Rate Letter and Updated Contact Forms

With the New Year comes new rates. Our FY 19 rental rates and base lease rates have been set for a while and are posted on our webpage.  View Fleet Services Vehicle Rates, FY 2019.  Additionally, departments were sent a letter several weeks ago listing the new rates for each vehicle and the MFK we are currently charging.  We’ve asked that you return that form verifying the MFK for FY 19.  There was also a form to return to us verifying the contact information for each vehicle.  Those forms are due back on Friday, June 22.    If you need another copy of either of those forms, please let our office know.

Old Fuel Cards are Dead

The old Wright Express fuel cards expired on May 31.  If you still have one of these old cards, you may dispose of it, as it will no longer work. If you need a new fuel card and do not have one for your vehicle please stop by our office and we can issue that new card to you.

Do You Know Where Your Keys Are?

I hope they are not in your vehicle.   We recently had a vehicle stolen and it was made easier for the thief as the keys were left in the vehicle.  Please, NEVER, EVER, leave keys in an unattended vehicle.  That makes it too easy for a thief.  Just so you know, we are still waiting for the stolen vehicle to be found.

GPS and IPASS Devices Are Available

Did you know that Fleet Services has GPS and IPASS devices available for business use?  The IPASS devices can only be used in State vehicles but the GPS devices can be used in any vehicle as long as it is for a business purpose.  The cost for either is $5 per day.  In addition, the customer must pay for any tolls incurred on the IPASS.  Keep in mind, that most tolls are about half of the cash price if an IPASS is used.  Call our office with any questions.

Fleet Services Orientation For Your Group

As fall approaches and you bring on new staff that may need to use our services, I would be happy to come to one of your staff meeting and provide an overview of Fleet Services.  I can talk about accident procedures, breakdown procedures, how to reserve vehicles, who is allowed to drive/ride in University vehicles or other topics that you would find beneficial.  You can call our office and ask for Mike to make those arrangements.

Honest Mike’s Used Cars

We have many vehicles posted on eBay right now.  There is a 2013 Ford Focus with just over 96,000 miles, a 2013 Chevrolet Impala with around 88,000 miles, another 2013 Chevrolet Impala with just under 89,000 miles and a 2011 Chevrolet Silverado 4X4 with a little over 72,600.  All of these vehicles are posted on the University’s eBay page and the auctions end Monday, June 18.  In the near future, we will have another 2013 Impala, a 2011 Silverado 1500 4X4, a 2014 Ford E350 125-passenger and several others.

Fleet Factoid

As you can imagine, Fleet Services pays close attention to fuel prices.   We track the wholesale price of fuel over time and here are some recent comparisons.  In the last week, the wholesale price for unleaded gasoline is up 2%, and diesel is up 3%.  In the last month, unleaded is down 3% and diesel is down 2%.  In the last 6 months, gasoline is up 9% and diesel is up 8%.
