Faculty on Sabbatical: Issue with Fleet Services Requisition
There is a known issue with the Fleet Services Requisition when requesting a vehicle for a faculty member who is on developmental leave. Our system cannot find faculty on developmental leave when searching for the driver. The workaround is to choose “Other” on the drop-down for “Driver Type”. Then type the faculty members name and driver’s license number in the appropriate fields. In the box that says “If other please describe:” put “Faculty on sabbatical”. Enter everything else as normal and the requisition will proceed. If you have questions, please call our office.
Please remember when renting an I-PASS device you will see two different charges on your statement of accounts. One charge will be for the daily rental of the I-PASS device and the second charge will be for any tolls incurred when the device was checked out. Keep in mind, those tolls may post in the following month. We will email a new receipt when we post the additional toll charges.
Operational Policies Posted on Fleet Services Website
We have recently updated the Fleet Services website by posting our Operational Policies. These policies include loaner, rental cancelation, late pick-up, I-PASS, the cleaning policy for rental and lease vehicles, our excess mileage policy for leased vehicles and the early turn in policy for long-term assigned vehicles. If you have any questions after reading these policies, please call our office.
If you are driving a Fleet Services vehicle and experience a mechanical issue please call the shop at (319) 335-5105 and they will coordinate your repair. Depending on circumstances, they may coordinate your repair with our roadside assistance provider. If the mechanical issue occurs after hours please call our roadside assistance provider directly. The phone number is on the blue and white card located in the vehicle glove box. If you do not have one of these cards in your vehicle, please let us know and we can order a replacement. If necessary please call Public Safety at (319) 335-5022 for after-hours emergencies.
**REMINDER ** Accessible Vehicle Now Available!!
Fleet Services now has a vehicle available for rent with wheel chair access. If you have a staff member, student or guest in a wheel chair we now have a transportation option for that person. The vehicle has an internal, powered ramp and securement points to allow persons to be transported safely.
If you need to reserve this vehicle, you can use our standard Fleet Services requisition available in Self-Service. For the vehicle type, select “Minivan” and in the comments please note that you would like the accessible vehicle. The rate for the accessible vehicle is the same rate as a minivan.
Please allow approximately 30 minutes prior to your departure time for some training on how to use the van.
Rental Vehicle Pick-up Time is Critical
When making a vehicle reservation, please remember to be as accurate as possible when listing the pick-up and return times. The window from when a vehicle returns to when it goes out again can be as short as fifteen minutes. If you are going to be late, it is not a problem, just call so we can adjust our plans. Fleet Services Factoid
With the spring semester over, Fleet Services is no longer open on Saturdays. If you need a vehicle over the weekend when we are not open, you can pick up the vehicle after 4 pm the business day before and we’ll start your charges when you actually leave. Please note the day and time of departure in the comments section of the requisition.
