Report It All, No Incident is Too Small

If you have an accident or incident in a University vehicle please make sure Fleet Services is contacted.  We may ask you to fill out an accident report to document the incident.  The details you document can protect the University in the event of an insurance claim or lawsuit.  Your timely documentation also allows us to proceed with getting our vehicles repaired as soon as possible.    

Fuel Cards not for Local Use

As a reminder, the fuel cards will not work in the Iowa City/Coralville area unless you have made special arrangements with us.   Please satisfy your fuel requirements at our on-campus fuel station open 24-hours per day, 7 days a week!  It is located on the corner of Madison and Harrison Streets. 

State Vehicle Parking Around Kinnick on Football Weekends

As you can imagine it is really crazy around Kinnick on football Saturdays.  To assist with fan parking, State vehicles need to be relocated from lots 40, 43, and the numbered spaces in lot 75.   Some suggestions for relocation are the un-numbered spaces in lot 75 or in lot 49 off of Melrose Avenue.  Vehicles need to be relocated by 6 pm the Friday before a home game.   Go Hawks!!

Students Driving University Vehicles

As a general rule, students are not allowed to drive University vehicles.  There are circumstances when a student can drive:  When the student is an employee and driving in the scope of their job; as a member of a student organization going to a recognized student organization function, as a member of the Student Government attending national conferences or Board of Regents meetings.  If you have any questions, please give our office a call.

Fill-up at a Quarter

In the last several weeks we have had several University vehicles run out of gas.  Several of them were relying on the computer that said they had 10 miles until empty and were very surprised when they ran out of gas.  Please do not rely on that computer.   It makes its calculations based on historic driving patterns and may not reflect your current driving behavior.  A good rule of thumb is to plan on filling your tank once you have reached a quarter of a tank.  The towing bill we have to pay for running out of gas is a minimum of $150.

FY 16 Rates Are Published

The FY 16 rates for daily rental vehicles have been published on our web site.  View FY16 Rates

The excess mileage rates for those customers who average over 1,250 miles (1,500 miles for mid-size sedans and SUVs) are as follows:  Compact Sedan:  $0.09; Mid-Size Sedan: $0.13; SUV:  $0.15; Minivan: $0.19; Cargo Van: $0.11.  All new rates are effective September 1, 2015.

Tolls Can Be Taxing

If your trip takes you east you may encounter some tolls.  We have IPASS devices that can speed your way through these tolls. Typically using an IPASS will reduce the toll by 50% over paying cash.   If you are driving a University vehicle and would like to rent one of our IPASS devices, please call our office.  The rate is $5 per day plus the tolls.

Fleet Services Factoid

Don’t forget we still have a few vehicles left to sell.  A couple of 15 passenger vans and a Ford Focus will be ending on 9/25 in the afternoon.  If you are interested in these vehicles, please visit the Surplus ebay site.
