How Do I Get a Fleet Vehicle over the Holidays?

If you need to start your trip over the Thanksgiving, Christmas, or New Year's holiday you may pick up your keys after 4 pm on the last business day before the University Holiday.  You will not be charged until you actually use the vehicle, so please note in the comments section on the requisition the day and time your trip begins.

Starting December 26, through January 15, our office will be closing at 5pm. With the holidays fast approaching, please remember these modified office hours.

All Fuel Reimbursements to Fleet Services

If someone doesn’t know to use the Wright Express fuel card and uses a personal card to purchase fuel for a University vehicle, please contact Fleet Services in order to get the driver reimbursed. This allows us to record the details of the transaction ensuring the miles per gallon and cost per mile statistics are accurate. Departments should not reimburse drivers, especially with a transaction on a daily rental reservation as the cost of fuel is already included in the rate. To submit a reimbursement we need the following information: the license plate number of the fueled vehicle, the purchaser’s home address, to verify the person’s identity and in case a check needs to be mailed, a copy of the receipt, and the reason a personal card was used. If fuel is pre-paid, make sure to note how many gallons you purchased, as the receipt will not have that information included. Do not use your p-card to purchase fuel! Fuel is not an approved purchase and the reimbursement process will take much longer.

Hospital Ramp 2 Kiosk Login

There have been a few instances recently where customers have had difficulty logging into the Kiosk at our Hospital Ramp 2 location when checking out their vehicle rental. We believe one of the people was using their healthcare credentials to login and not their HawkID and password. So please remember that the kiosk needs your HawkID credentials. Another user had issues because they were accidentally hitting the caps lock key instead of the tab to move to the password box. Double check to make sure the caps lock is not on when trying to login.

Winter Blend Diesel Fuel

For those of you who use diesel fuel in your University vehicles and equipment we have switched to winter blend diesel. The winter blend should ease starting concerns on those cold mornings. We also include an additive to ensure the fuel does not gel up in the fuel lines. We are also still using 5% bio fuel!

Athletics Posters, Schedules, and Magnets!

We have a nice supply of Men’s and Women’s Basketball posters, Women’s B-Ball magnets, Men’s Wrestling magnets, and schedule cards for each. Feel free to stop by and grab some if you are interested.

Do You Know Where Your Ice Scraper Is?

Now would be a good time to make sure your state vehicle is still equipped with its University issued ice scraper. If you do not have one, stop by our office the next time you get fuel, and we will give you one. Always make sure to clear snow and ice off your windshield, headlights, and taillights to make sure you can see and others can see you.

Fleet Factoid

Since the Iowa DOT started offering their Blackout license plates in 2019 the state has issued 758,747 of them. These plates cost $10 more than a standard plate and the additional funds collected go to the Road Use Tax Fund, which funds state, county, and city road and bridge projects throughout Iowa. Check out the report from the DOT.
