Fueling a University Vehicle

University of Iowa Fleet Services operates and maintains a full service fuel island for university vehicles to re-fuel while on campus. The fuel island is available for leased vehicles, departmentally owned University vehicles, and other equipment that may need fuel. The following will take you through the process of fueling a vehicle using the assigned Wright Express (WEX) Card.

Fueling a University Vehicle with a Wright Express (WEX) Fuel Card

  1. University of Iowa Fleet Services operates and maintains a fueling facility for university vehicles.
    1. Vehicles are required to use this facility when in the Iowa City/Coralville area. 
    2. The fuel island is located next to the Cambus Maintenance Facility at 517 South Madison Street.
  2. Use of the fuel island requires a WEX Card which is issued to every vehicle when new.
    1. One unique WEX card is issued per vehicle. Do not use it to fuel any other vehicle.
    2. After inserting and removing the card, you will be required to enter the following information to activate the fuel control system.
      1. Enter a 6 digit “Security Code” which is like the PIN.
        1. The PIN is a 4, then the last four digits of the vehicle license number, then a 5.
        2. Enter vehicle’s current odometer reading. Please be accurate, we use this information to calculate cost per mile and when the next preventative maintenance is due.
        3. Enter pump is being used. Each pump is numbered (1-4) on the stainless-steel pillar facing the fuel kiosk.
    3. The WEX card is programmed to only allow the correct fuel type to be dispensed. The correct fuel type is always listed on the issued key tag.
  3. Fueling gas cans or small equipment? Do not use the WEX card assigned to a vehicle to fill gas cans or fuel small equipment. Please contact our office for a separate WEX card if you have something to fuel other than a vehicle.
  4. Lost your WEX card? If you lose or misplace your card, notify Fleet Services immediately. We can turn off the card and give you a chance to find it. If the card cannot be found, or it is determined to be stolen, notify Fleet Services and we will cancel that card and reorder it.
    1. The shop keeps a clipboard with a generic chip key that can be used to fill up your vehicle if you do not have/or have lost the WEX card for the vehicle. 

When fueling on campus is not possible, the University of Iowa contracts with Wright Express for fuel credit cards. These cards are for fueling University owned and leased vehicles while traveling on University business. To find a participating facility, visit the Wright Express website. The following will take you through the process of using a WEX Card to fuel a university vehicle.

Fueling away from campus: Please use the Wright Express (WEX) fuel credit card provide with your vehicle.

  1. One card is assigned to each vehicle and should not be used to fuel other vehicles, gas cans or small equipment.
  2. These cards are for fueling University owned and leased vehicles while traveling outside of the Iowa City/Coralville area while on University business.
  3. Wright Express cards are accepted at most fuel stations. There should be a decal on the pump with a picture of the card indicating acceptance.  Check with the attendant if you are unsure. Never pre-pay for fuel using the fuel card. Instead, find another station where possible.
  4. Fuel cards are set-up for fuel purchases only.
  5. Use of the card requires entry of a 6-digit Driver ID# which is like the PIN.  The Driver ID is a 4, then the last four of the vehicle license number, then a 5.
    1. For example, if your plate is 10245, the Driver ID is 402455. If your plate is 8522, the Driver ID s 485225.
  6. Please retain the receipt for your department.
  7. If you lose or misplace your card, notify Fleet Services immediately. We can turn off the card and give you a chance to find it.
  8. If the card cannot be found, or it is determined to be stolen, notify Fleet Services and we will cancel that card and reorder it.

Fleet Services Maintenance Program

Fleet Services provides preventive scheduled maintenance service on all their vehicles. For more information on the type of work to be completed, expand the appropriate service level below.

PMA (done every 5,000 miles or 6 months whichever comes first)

Perform the following tasks:

  • Change engine oil & filter
  • Lubricate the chassis
  • Inspect tire tread depth, check and adjust tire air pressure
    • Rotate tires as needed
  • Inspect and repair / replace as necessary
    • AC / Heat
    • Windshield wiper/washer system
    • Interior and exterior lights
    • Air filter
    • Belts and hoses
    • Suspension
    • Exhaust system
    • Steering components
    • Brake pads
  • Check and fill all fluid levels

PMB (Done every 40,000 miles in conjunction with a regularly scheduled PMA)

Perform the following tasks:

  • All tasks listed in PMA
  • Change air filter & cabin air filter if applicable
  • Tune up
    • Change spark plugs
    • Change PCV valve
    • Change fuel filter & install injector cleaner
  • Change transmission fluid and filter
  • Flush cooling system if recommended by OEM
  • Test drive vehicle (at least 5 miles)
