Fleet Services has begun the planning phase for a brand new Requisition to request vehicles. We would love to get feedback directly from our customers as we move forward. Please let us know if you have any suggestions or ideas for our new Requisition. Our goal is to make the whole process more intuitive and efficient for our customers.
Holiday Hours
With the holidays fast approaching, please be aware of some modified office hours during this time.
- The office is closed December 24-25, and January 1
- Our office will be open from 7:00 AM – 5:00 PM from December 28 through January 15
- Closed on Martin Luther King Jr. Day, January 18
- Regular hours will resume Tuesday, January 19
If you need a vehicle during a holiday closure, you may pick up the vehicle on the last business day before your trip begins, after 4:00 PM. Please make a note of when the charges should begin in the “Remarks/Notes” field when submitting the requisition.
Required, or Not Required, That is the Question
Anyone who wishes to drive a vehicle (personal, rented or University-owned) for University business must have a driving assignment created in Risk Management’s Drivers License Review System (DLRS). When creating the driving assignment for employees, the department selects either “Required to Drive” or “Not Required to Drive.” What is the difference between “Required to Drive” and “Not Required to Drive” driving assignment?
A “Required to Drive” driving assignment means that driving is an essential job function. In other words, an individual may lose their job if they are unable to drive. For anyone deemed “Required to Drive,” Risk Management must annually review the individual’s driving record to verify that they are compliant with the University’s Driving Policy. If the individual has an out of state license, they must sign a release of authorization form allowing Risk Management to perform the review. The release of authorization form is automatically emailed to the individual after the driving assignment has been entered in the DLRS. There is also a fee incurred to obtain out of state license reviews. These fees are charged back to the department.
If an individual’s employment is NOT contingent on them being able to drive, then they should be categorized as “Not Required to Drive.” Those who are designated as “Not Required to Drive” will receive an annual email from Risk Management asking them to complete a self-certification. The self-certification permits the individual to confirm if they comply with the University's Driving Policy. The individual has 45 days to complete the self-certification and if it is not completed within that time period, they will be marked as “not authorized.”
When the process for either “Required to Drive” or “Not Required to Drive” is completed, the driver will receive an email notification regarding their driving status.
