You Rate Some Good News!

Our vehicle rates for FY 23 have been finalized and they aren’t going up!!  Rates for both assigned vehicles and daily rental vehicles will remain the same!  The class-based rates for assigned vehicles and our daily rental vehicle rates for FY 23 are posted on our website.  View complete list of FY 23 vehicle rates.    

How to Acknowledge FY 23 Rate for Assigned Vehicles

Those customers with assigned vehicles will soon be getting an email asking the Administrative Contact or the Administrative Contact Delegate to log on to the Assigned Vehicle Portal.  After the person logs on to the Portal, there will be a banner that says, “Please click here to acknowledge new rates for the next fiscal year”  A page will open listing the assigned vehicles.  Click on the small box to the left for each vehicle (or the small box in upper left to select all) and then click on the “Yes, I acknowledge the new rates” button at the bottom of the page. That is all there is to it!!

Vehicle Replacement Forms

This is normally not the time of year we start planning our new vehicle orders for the coming year but we are not in normal times. Manufacturers’ ordering windows opened earlier than past years and we need to get our orders placed before they close. We recently emailed vehicle replacement forms to the Administrative Contact for those vehicles scheduled to be replaced.  Those forms are due back to Fleet Services at the latest on Wednesday, April 27th. If you misplaced the forms and need another set, just let us know and we can email them to you. If you need to add a vehicle to your department, give us a call and we can help with that!

Returning Assigned Vehicles Early

Now that we are in the process of ordering new vehicles for next year, this gives us the opportunity to reassign vehicles within the Fleet. In certain cases, we may be able to reassign a vehicle from one department to another. So, if you are interested in ending a vehicle lease early, please contact Mike (319-335-5088) to discuss your options.

Gone with the Pink Passes, in with the LPR

As we teased last month, Fleet Services will be phasing out our physical pink permits and switching over to License Plate Recognition (LPR) electronic permits for our rental customers. Our software will allow us to do this is in the final development/testing phase and we are hoping to make the switch sometime in May. We are testing with a few customers now to make sure the process works as we think it should.  We’ll continue to give updates as we get closer to making the change and will do everything we can to make it as easy as possible for customers.

Rental Reservations, Timing is Critical!

Our business has been picking up and we are currently stretched a bit thin for vehicles. A vehicle may be scheduled to be returned at 5pm and we might have it going back out for another reservation five minutes later. For this reason we greatly rely on the pickup and return times listed on each requisition to be accurate.  When you submit a requisition for a vehicle, please be as close to the pickup and return times as possible. If a vehicle is listed to be returned at 4:30pm and it does not make it back until after closing time it could leave us in a bind. If something changes and you need to update the pickup or return time; call and let us know. It is easier for us to adjust if we know about schedule changes ahead of time.

The Roadside Assistance Formally Known as ARI

Our roadside assistance vendor recently went through a bit of a re-branding and changed their name. What you used to know as “ARI” is now “Holman.”  Apparently Holman has been the parent company for some time and finally decided to pull all of their brands together to provide consistency among their products. What does this mean? Probably not much, the phone number, client code, and vehicles numbers are all the same. We just wanted to give you a heads up about the name change to avoid any confusion.

Fleet Factoid

The Wild, Wild West indeed! The ten U.S. cities with the highest rates of vehicle theft are all in western states. California has four cities in the top ten, including the top two, Bakersfield and Yula City. In Iowa your vehicle is most vulnerable in the QCs of Davenport, Moline, and Rock Island.
