The Assigned Vehicle Portal is Here!

Fleet Services has released a new application, the Assigned Vehicle Portal, or AVP, that will make managing assigned vehicles easier and more straight forward. A lot of thought and hard work has gone into designing and implementing this solution for our customers and we are very pleased with how it came out.

Along with the introduction of the AVP comes the introduction of some new roles designed to give your group more flexibility with vehicle management. The Administrative Contact  can now assign two new roles allowing additional staff to view, update, and change vehicle information depending on which role is chosen. The two new roles are:

Administrative Contact Delegate

  • This role is designated by the Administrative Contact and has the same rights as the Administrative Contact (update MFK, and vehicle contacts) except that this person cannot change the Administrative Contact.

Department Viewer

  • An Administrative Contact or Administrative Contact Delegate can assign a Department Viewer to one or all department vehicles. Note that each vehicle can have only two Departmental Viewers. The Departmental Viewer can view and download information regarding assigned vehicles but cannot change any information.

One of the main benefits of the AVP is the elimination of our cumbersome paper processes for the annual vehicle rate acknowledgement, MFK verification, and vehicle contact confirmation. Rather than physical documents going through Campus Mail, Administrative Contacts and Delegates will receive a notification to log in to the portal to verify rates, the MFK, and vehicle contacts. Other Portal benefits include, Administrative Contacts (and Delegates) can now update MFKs and contacts at any time, at their convenience.  Another feature is that Admin Contacts, Delegates and Viewers can download vehicle information into spreadsheets to create their own reports.

Call Me On My Cell

The Assigned Vehicle Portal auto-populates a selected user’s contact information from the University’s directory. For some Service Contacts, an office phone is not a good way to reach them in a timely manner. If this is the case, get in touch with us by phone or email, and we can add a cell phone number to the vehicle information.

New Website, New Rates

The Fleet Services website has just gone live with a new modern look and layout. Check out the new website or jump right to the section with the new daily rental and assigned vehicle rates for FY22.

End of FY Billing Reminders

All fuel transactions and daily rental reservations through 6pm on 6/30 will bill in FY21. There is generally a 2-day processing time for WEX fuel card transactions so all WEX transactions through 6/28 should bill in FY21.

Fleet Services July 4th Holiday Hours

Just like the rest of the University, Fleet Services will not be open on Monday, July 5th. If you need to leave for a trip on the 5th or before we open again on July 6th, you may pick-up your vehicle after 4pm on Friday, July 2nd and you will not be charged until your trip actually begins. Please note your departure date and time in the comments section of the requisition when you make your reservation.

Fleet Services Factoid

The used-car market is booming! According to the U.S. Bureau of Labor Statistics, used-car prices jumped nearly 30 percent between May 2020 and May 2021. So what’s fueling the boom?
